The same Clutch survey found that only one-third of small businesses that created a budget in 2020 ended up overspending. In other words, when businesses take the time to build a budget, they\u2019re more likely to stay on track.<\/p>\n<p data-start=\"610\" data-end=\"717\" data-is-last-node=\"\" data-is-only-node=\"\">With that in mind, here\u2019s how to create your own small business budget \u2014 along with a free template \u2014 for 2026.<\/p>\n<h2><span class=\"ez-toc-section\" id=\"1-assess-your-revenue-streams\"><\/span><strong>1. Assess Your Revenue Streams<\/strong><span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p>You can\u2019t draw up a budget until you understand your current sources of revenue.<\/p>\n<p>Why revenue rather than profit? Because revenue is <em>all the money you generate<\/em>, whereas profit takes into account all your fixed and variable costs (more on these later). Costs can fluctuate \u2013 and will often be proportionally higher in the early life of the business \u2013 so revenue gives you a clearer picture of your earning potential.<\/p>\n<p>Look over your historic income, ideally going back two or three years to help you analyze trends. Add all the different revenue sources together and break them down month by month to identify exactly how much money comes into your business (and when). This allows you to plan for seasonal peaks and troughs. Maybe you should consider adding a temporary worker or two to your team to cope with busy periods?<\/p>\n<h2><span class=\"ez-toc-section\" id=\"2-calculate-fixed-costs\"><\/span><strong>2. Calculate Fixed Costs<\/strong><span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p>Having added all your revenue streams together, it\u2019s time to get onto your expenses. Start by analyzing your <a href=\"https:\/\/www.zoomshift.com\/blog\/fixed-costs\/\" target=\"_blank\" rel=\"noopener noreferrer\">fixed costs<\/a> \u2013 that is, any recurring costs that are essential for your business to function. For instance, don\u2019t just write \u201csoftware subscriptions\u201d. Instead, break those subscriptions down into the specific tools you\u2019re using and how much you pay for each.<\/p>\n<h2><span class=\"ez-toc-section\" id=\"4-leave-yourself-a-contingency-fund\"><\/span><strong>4. Leave Yourself a Contingency Fund<\/strong><span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p>While budgets are all about predicting the future with as much accuracy as possible, some things simply can\u2019t be foreseen. After all, the unexpected storm that causes your property to flood and the emergency meeting with one of your clients that forces you to spend hundreds of dollars on travel and accommodation need to be accounted for <em>somehow<\/em>.<\/p>\n<p>That\u2019s why you should always leave a little \u201cwiggle room\u201d in your budget to help you cope with crises or capitalize on unexpected opportunities. Create a contingency fund to help you deal with those events and challenges \u2013 that way you won\u2019t have to rely on an emergency small business loan or similar to get you through the hard times.<\/p>\n<h2><span class=\"ez-toc-section\" id=\"5-create-your-p-l-statement\"><\/span><strong>5. Create Your P&amp;L Statement<\/strong><span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p>Having gathered all that information together, combine it into your <a href=\"https:\/\/www.zoomshift.com\/blog\/profit-and-loss-statement\/\" target=\"_blank\" rel=\"noopener noreferrer\">profit and loss (P&amp;L) statement<\/a>.<\/p>\n<p>While the name can sound a little intimidating to non-accountants, creating your P&amp;L involves nothing more than some simple math:<\/p>\n<ol>\n<li>Add your income for the month<\/li>\n<li>Add your expenses (fixed and variable) for the month<\/li>\n<li>Subtract expenses from income to leave your profit (or loss)<\/li>\n<\/ol>\n<p>Hopefully you\u2019ll be in the black once you\u2019ve calculated your sums. Look to the Future<\/strong><span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p>Your P&amp;L gives you a clear picture of past performance. That\u2019s useful, but it\u2019s not enough to help you plan for the future. To do that, you need to create a forward-looking budget.<\/p>\n<p>While your budget and P&amp;L are separate documents, the two should be closely aligned. Tying your budget to your profit and loss statement will help you factor in things like seasonality, while also helping you identify decisions you took and investments you made that are worth repeating (or avoiding).<\/p>\n<p>No matter how much historical financial data you have to draw on, projecting the future is never a precise science. However, if you\u2019ve been doing this for a while \u2013 and have trending data to back up your educated guesswork \u2013 you\u2019re much likelier to create an accurate forecast.
