The way managers schedule shifts has evolved over time. Not long ago, schedules were created with pen and paper, before moving to spreadsheets like Excel and later Google Sheets.<\/p>\n

Today, more advanced and efficient scheduling tools \u2014 like ZoomShift<\/a> \u2014 are widely available. Even so, many managers still rely on familiar methods, despite their limitations and inefficiencies.<\/p>\n

In this guide, we\u2019ll show you how to create a work schedule in Google Sheets in four simple steps, along with a template you can use. We\u2019ll also highlight some of the challenges of using spreadsheets \u2014 and how modern tools can help streamline your scheduling process and improve team efficiency in 2026.<\/p>\n

<\/span>How to Make a Work Schedule in Google Sheets<\/span><\/h2>\n

Let\u2019s kick things off by taking a look at how you can make a work schedule in Google Sheets.<\/p>\n

1. Navigate to the Google Sheets Template Gallery<\/h3>\n

To start, head over to the Google Sheets homepage at https:\/\/www.google.com\/sheets\/about\/<\/a>. From there, select either \u201cPersonal\u201d or \u201cBusiness.\u201d The signup process will differ depending on which one you pick, but the overall Sheets experience will be the same, so it\u2019s completely possible to use \u201cPersonal\u201d even for a work schedule.<\/p>\n

After that, you\u2019ll see a list of your recent documents. At the top, there\u2019s a section of the page titled \u201cStart a new spreadsheet\u201d that includes templates. It looks like this:<\/p>\n

2. Select the \u201cSchedule\u201d Template<\/h3>\n

Once you\u2019re on the template gallery, you\u2019ll see the \u201cSchedule\u201d template on the third row in the middle:<\/p>\n

Once you\u2019ve selected the template, a new document will be created:<\/p>\n

3. Set the Starting Date and Title<\/h3>\n

At the top of the schedule, you\u2019ll see the title \u201cDaily Schedule\u201d and \u201cWeek of.\u201d At this point, you can set the title to anything you want and input the starting date for your schedule. When you click on the starting date, a dropdown calendar will pop up, and you can use it to select the right starting date, like so:<\/p>\n

4. Add the Shifts Into the Sheet<\/h3>\n

Now that you have your template set up, all you need to do is add in the shifts and fill out your schedule. That could look something like this:<\/p>\n

<\/span>Disadvantages of Scheduling with Google Sheets<\/span><\/h2>\n

Making work schedules with Google Sheets may be workable, but it\u2019s far from ideal. Here are just a few reasons why Google Sheets is not the best choice for work schedules.<\/p>\n

1. Schedule Updates Aren\u2019t Pushed<\/h3>\n

Compared to offline spreadsheet programs, like older versions of Microsoft Excel, Google Sheets has a major advantage in that everyone that you share the schedule with can see changes in real-time.<\/p>\n

However, these updates aren\u2019t pushed<\/em> to everyone, meaning that your team members won\u2019t be automatically notified every time you make a change. That means that if one of your team members checks the schedule on Saturday night, and you change their shift on Sunday morning, they might end up showing up for the wrong shift if you don\u2019t remember to send an email.<\/p>\n

When you use software that includes push notifications, you can eliminate this problem.<\/p>\n

2. More Error-Prone Due to Lack of Automation<\/h3>\n

Modern scheduling software doesn\u2019t force you to enter every little detail by hand: if you change one part of the schedule, other related parts will automatically update for you. Plus, more advanced software can also alert you if you\u2019re scheduling too many shifts and getting into overtime territory or making another potential error.<\/p>\n

Unless you\u2019re a spreadsheet expert, you won\u2019t be able to get Google Sheets to do this type of automation, so you\u2019ll be hurting your scheduling efficiency<\/a> by relying on it.<\/p>\n

3. More Time Consuming<\/h3>\n

When you use a spreadsheet, you have to enter every shift manually, and that takes a lot of time. With dedicated scheduling software, you can use a speedier drag-and-drop schedule builder instead.<\/p>\n

Plus, if you need to notify teammates of new updates, you\u2019ll have to manually send out emails, whereas a modern scheduling software could automatically push notifications to your team members.<\/p>\n

4. Lacks Modern Features<\/h3>\n

Not only do spreadsheets lack the features mentioned above, but they don\u2019t have other useful tools, like shift swaps, GPS time tracking, PTO management, and more. All of these features work together to save you time and make your business run like a well-oiled machine.<\/p>\n
