Schedule Online - A Case For Scheduling Employees In The Cloud
There was a time not too long ago when it was difficult to store or find anything online. Remember Alta Vista? Nowadays everything that we do is online (aka in the cloud), and for good reason.
Here are 5 reasons why you should schedule online.
1. Access The Schedule Anywhere, Anytime
This is a pure convenience factor, but I believe it’s the number one reason people should schedule online. If I am an employee or a manager, I’d like to be able to view the schedule from anywhere (not just in the break room or on the fridge at home). This includes on the go from my phone or tablet. Accessing the schedule from your phone is extremely helpful because most people do not spend all day at a computer and need to have a place where they can access their schedule for the day/week. Yes, there are other ways to share documents such as VPN and shared drive options, but why go through the hassle if you just need a simple way to access your schedules online?
2. Less Time Managing Shift Trades
This is a huge win for employees and managers because allowing shift trades online gives the group the ability to communicate better together. When you schedule online, you are able to use smart email notifications so the right people are notified. Say goodbye to those pesky reply all emails, forwards of forwards or awkward phone conversations.
3. Operate Better Online and Offline
Scheduling online ultimately comes down to helping organizations operate better. If scheduling software gets in the way of the process and doesn’t help, then it shouldn’t be implemented. What we’ve found though is that once the initial setup is taken care of a manager will spend around half as much time scheduling each week. This includes all of the extra communication that is typically necessary within the organization both online and offline.
4. Transparency + Accountability
Sometimes it can be hard to keep track of all of the conversations that happen during a day. When it comes to scheduling it’s important to see a historical record of request offs, trades, and shift totals. Keeping these things online is great because you can refer back to these events to make better decisions in the future.
5. See The Big Picture
When you schedule online you can see the big picture and how all of the pieces fit together more clearly. No matter how you schedule, every week is a puzzle that you need to put together. When you schedule online all of the tools you need to build a schedule are laid out clearly so you are able to do your job quickly and efficiently, and now who doesn’t love that?
I realize that ZoomShift, or any other scheduling software might not work for every organization, but there are very few places that won’t benefit from scheduling online.
